West Hollywood Community Housing Corporation is an award winning developer of affordable housing in the City of West Hollywood and the greater Los Angeles area. The Asset Management Administrative Assistant works under the direction of the Director of Property & Asset Management to provide exceptional administrative and clerical support to the Asset Management Department. This person will assist in a wide variety of areas from general administrative support to special projects. The Asset Management Administrative Assistant assists the Asset Management department in achieving objectives and goals to ensure that the mission of WHCHC is met with administrative duties, reports and projects. The Asset Management Administrative Assistant is expected to work both independently and with direction, as well as collaborate with other team members. Essential Duties • Mail, fax, email and courier documents • Data entry, filing, Database maintenance and archiving reports • Scan and image documents into document retrieval system • Return housing inquiry calls and emails from interested parties • Assist residents with inquires and provide updates • Assist department with preparation of routine compliance reports, surveys, and mailings • Responsible for tracking property management weekly reports • Identify and follow-up on property management problems • Maintain yearly income and rent limit documentation • Monitor vacancies to ensure property management agent is meeting performance standards • Communicate tenant issues to WHCHC Resident Services as applicable • Attend routine educational programs to earn housing credentials and to develop professional abilities • Assist with special projects in Development, Marketing and Resident Services as requested • Back-up support for Reception coverage • Other duties as assigned Education/Experience/Skill Set • Excellent customer service focus • Excellent communication skills – written, oral and interpersonal, Multilingual a plus • Pleasant and articulate telephone manner • Highest level of personal integrity and ethical standards • Proficient use of computer software, including MS Office platform. • Must be able to establish priorities and work independently in a proactive manner • Ability to work with a diverse group of people in a collegial, team framework • Must have excellent organizational and time management skills • Must have strong problem solving skills and provided great attention to detail. • Ability to maintain confidentiality • Flexible to assist where needed • Must be willing to roll up their sleeves to perform all responsibilities needed to ensure success. • Demonstrated ability to critically analyze processes and procedures toward improvement. • High school graduate, BA preferred. • 1 year low income housing property management experience preferred. • Knowledge of HUD, TCAC, DFEH a Plus • Fair Housing experience • Job may include occasional evening and property visits. • Strong personal initiative and desire to succeed in a demanding environment Work Environment/Equipment Used The work environment will usually be in a professional office setting, with possible shared workspace. The noise level is usually quiet to moderate. The individual in this position may operate any or all of the following: standard office equipment including personal computer and personal automobile. Physical Activity The Asset Management Administrative Assistant is required to talk, see and hear. In the course of performing this job, the Asset Management Administrative Assistant typically spends time sitting, standing, walking, stooping, kneeling, crouching, and climbing stairs, listening/speaking, writing, and operating a personal computer and personal automobile. The Asset Management Administrative Assistant must possess the ability to lift up to 25 lbs.
